TranscribeVideo.ai ("we", "us", "our") operates the transcription service at transcribevideo.ai. For GDPR purposes, we are the data controller. Contact: privacy@transcribevideoai.com.

2. Data We Collect

  • Account data: Email address and name when you sign in via Google or magic link.
  • Usage data: URLs submitted for transcription, request timestamps, IP address (for rate limiting).
  • Payment data: Billing is handled entirely by Stripe. We do not store card details.
  • Cookies: A session cookie for authentication, and a consent cookie to remember your cookie preference.

3. How We Use Your Data

  • To provide and improve the transcription service
  • To enforce rate limits and prevent abuse
  • To manage your subscription via Stripe
  • To send transactional emails (magic link sign-in, billing receipts)

4. Legal Basis (GDPR)

We process your data under the following legal bases:

  • Contract: Processing necessary to provide the Service you signed up for.
  • Legitimate interests: Security, fraud prevention, and rate limiting.
  • Consent: Non-essential cookies (if any) placed only after you accept.

5. Data Sharing

We share data only with trusted sub-processors required to operate the Service:

  • Supabase — database hosting (EU region available)
  • Vercel — hosting and edge infrastructure
  • Stripe — payment processing
  • OpenAI — AI summarization (transcripts sent to GPT-4o-mini)
  • Apify — video transcript extraction

We do not sell your data to third parties.

6. Data Retention

Account data is retained while your account is active. You may request deletion at any time. IP addresses used for rate limiting are stored in-memory and reset on server restart (not persisted to disk).

7. Your Rights (GDPR)

If you are in the EEA, UK, or Switzerland, you have the right to:

  • Access the personal data we hold about you
  • Correct inaccurate data
  • Request erasure ("right to be forgotten")
  • Restrict or object to processing
  • Data portability
  • Withdraw consent at any time

8. Cookies

We use the following cookies:

  • next-auth.session-token — Essential. Keeps you signed in.
  • cookie-consent — Remembers your cookie preference (localStorage).

You can withdraw consent via the cookie banner at any time by clearing your browser's localStorage.

9. International Transfers

Some sub-processors (OpenAI, Vercel) are based in the United States. Transfers are covered by Standard Contractual Clauses (SCCs) or equivalent safeguards.

10. Children's Privacy

The Service is not directed at children under 13. We do not knowingly collect data from children.

11. Changes to This Policy

We may update this Privacy Policy. The "Last updated" date above will reflect any changes. Continued use of the Service constitutes acceptance.
