Privacy Policy

1. Who We Are

TranscribeVideo.ai ("we", "us", "our") operates the transcription service at transcribevideo.ai. For GDPR purposes, we are the data controller. Contact: privacy@transcribevideo.ai.

2. Data We Collect

  • Account data: Email address and name when you sign in via Google or magic link.
  • Usage data: URLs submitted for transcription, request timestamps, IP address (for rate limiting).
  • Payment data: Billing is handled entirely by Stripe. We do not store card details.
  • Cookies: A session cookie for authentication, and a consent cookie to remember your cookie preference.

3. How We Use Your Data

  • To provide and improve the transcription service
  • To enforce rate limits and prevent abuse
  • To manage your subscription via Stripe
  • To send transactional emails (magic link sign-in, billing receipts)

4. Legal Basis (GDPR)

We process your data under the following legal bases:

  • Contract: Processing necessary to provide the Service you signed up for.
  • Legitimate interests: Security, fraud prevention, and rate limiting.
  • Consent: Non-essential cookies (if any) placed only after you accept.

5. Data Sharing

We share data only with trusted sub-processors required to operate the Service:

  • Supabase — database hosting (EU region available)
  • Vercel — hosting and edge infrastructure
  • Stripe — payment processing
  • OpenAI — AI summarization (transcripts sent to GPT-4o-mini)
  • Apify — video transcript extraction (website)
  • Google (Gemini API) — AI transcripts and summaries in the Android app (see section 13)
  • RevenueCat — subscription status for purchases made in the Android app through Google Play

We do not sell your data to third parties.

6. Data Retention

Account data is retained while your account is active. You may request deletion at any time. IP addresses used for rate limiting are stored in-memory and reset on server restart (not persisted to disk).

7. Your Rights (GDPR)

If you are in the EEA, UK, or Switzerland, you have the right to:

  • Access the personal data we hold about you
  • Correct inaccurate data
  • Request erasure ("right to be forgotten")
  • Restrict or object to processing
  • Data portability
  • Withdraw consent at any time

To exercise any of these rights, email privacy@transcribevideo.ai. We will respond within 30 days.

8. Cookies

We use the following cookies:

  • next-auth.session-token — Essential. Keeps you signed in.
  • cookie-consent — Remembers your cookie preference (localStorage).

You can withdraw consent via the cookie banner at any time by clearing your browser's localStorage.

9. International Transfers

Some sub-processors (OpenAI, Vercel, Google, RevenueCat) are based in the United States. Transfers are covered by Standard Contractual Clauses (SCCs) or equivalent safeguards.

10. Children's Privacy

The Service is not directed at children under 13. We do not knowingly collect data from children.

11. Changes to This Policy

We may update this Privacy Policy. The "Last updated" date above will reflect any changes. Continued use of the Service constitutes acceptance.

12. Contact & Complaints

Contact us at privacy@transcribevideo.ai. If you are in the EU and believe we are processing your data unlawfully, you have the right to lodge a complaint with your local data protection authority.

13. Android App

This section covers the TranscribeVideo app for Android (package com.transcribevideo.app). Everything above also applies to it, except that the app has no account and no cookies.

  • No account. The app creates a random install ID and sends a one-way hash of your device's Android ID. We use them only to count free videos, apply daily limits and stop abuse. Your IP address is used for the same purpose.
  • What you send. The YouTube link you share or paste, or the video or audio file you share or pick. YouTube links are processed by Google's Gemini API, which reads the public video; our servers never download it. Files go straight from your phone to Google's Gemini API and are deleted after your transcript is made, and at the latest after 48 hours.
  • Google as processor. Google processes this content to create the transcript, summary and translations. While we use the Gemini API's free tier, Google may use the content it processes to improve its products, under Google's Gemini API terms. Don't share videos with information you don't want processed this way.
  • Transcripts. Transcripts are saved on your phone. A copy stays on our server for 7 days so a dropped connection doesn't lose your work, then it is deleted.
  • Purchases. Payments are handled by Google Play. RevenueCat tells us whether you have an active subscription or purchase. We never see card details.
  • App analytics. App events such as "transcript finished" or an error code, linked to the install ID. No names, email addresses or contacts are collected.
  • Delete my data. In the app, open Settings → Delete my data. This erases the transcripts on your phone, the copies on our server and your analytics events. The free-video counters (hashed IDs only) are kept so free videos can't be reset by deleting data. You can also email privacy@transcribevideo.ai.
